Most people do not have a Christmas card list. They have a pile of addresses in three places, a vague memory of who sent a card last year, and a stamp supply that runs out in the first week of December. A single saved list fixes nearly all of that. This is how I would build one, keep it current, and use it for the 2026 season. Christmas falls on Friday, December 25, 2026, and the free one-page template below has columns for sent and received.
What Goes on the List
Keep it simple. Each row needs a name (or the family name as you will write it on the envelope), a full mailing address, and two check columns: sent and received. I add a small "new address" column too, for reasons I will get to. Everything else, such as birthdays or gift ideas, belongs somewhere else. A list that tries to be a full address book gets abandoned.
Write names the way you want them to appear on the envelope. "The Alvarez Family" and "Marcus and Dana Brooks" are different lines, and deciding that once saves you from deciding again every December.
Building the List From Scratch
If this is your first list, collect from the places you already have:
- Last year's cards, if you kept them. The return addresses are the most current ones you have.
- Your phone contacts and email, searching for the people you actually want to write to.
- Wedding, shower, or party invitation lists.
- Your holiday party or Thanksgiving guest list. If you are hosting, the Thanksgiving cooking timeline is a good companion.
Then do one pass where you decide who is on it. There is no correct number. A list of fifteen that you finish beats a list of sixty that you abandon at card number twenty.
Sent and Received: Why Track Both
The sent column keeps you from double-mailing or skipping someone halfway through an evening of addressing. The received column is the one most people forget, and it is the useful one: it shows who is still in your circle and who you may have lost touch with. It also tells you when a card arrives from an address that does not match your list, which is how you catch moves.
Here is a practical rule. Tick "sent" the same day the card goes into the mailbox, not when you finish writing it. Tick "received" when it arrives, and slip the card into a folder so you can copy the return address later if needed.
A 2026 Mailing Timeline
Working backward from Christmas on Friday, December 25:
- Early November: Update the list from last year's copy. Decide whether you are sending photo cards, and order them. Printed cards often take a week or more to arrive.
- Mid-November: Buy stamps and envelopes. Confirm any addresses you are unsure of by text. Asking costs less than a returned card.
- Around Thanksgiving weekend (November 27 to 29): Address and stamp the envelopes. This is the dull part, so do it in front of a movie. Sign and stuff them the following week.
- First week of December: Mail everything local and everything going far away. Cards sent early arrive before the mail gets crowded and look relaxed rather than rushed.
- By mid-December: Everything should be in the mail. For exact USPS mailing deadlines this year, check usps.com and look for its holiday shipping dates; I have not quoted specific dates here because they change by service and year.
- December 26 and after: Late cards are still welcome. A "Happy New Year" card is a perfectly good plan B, and you can tick the box then.
Keeping Addresses Current Year to Year
This is where a list earns its keep. After the holidays, spend ten minutes while it is fresh:
- Update every address that changed. If a card came back as undeliverable, mark that row and ask for a new address instead of guessing.
- Copy return addresses from received cards that differ from yours on file.
- Note anyone you want to add or remove next year while you still remember why.
- Start next year's list from a clean copy of this one, with the sent and received columns cleared. Save the old copy by year so you have a history.
If you move yourself, the moving checklist has a change-of-address step, and sending your card list a short "we have a new address" note in the spring means your mail keeps finding you.
Paper or Digital?
Either works if you use it. Paper is faster at the table with a stack of envelopes. A spreadsheet is easier to sort and copy forward. Many people keep a printed page for the season and retype changes into a digital copy in January. The free page is built for the paper half of that, one sheet with room for roughly two dozen households, and you can print extra copies for a longer list.
The Free Page and the Full Set
The free one-page template covers the list itself. The full Christmas Card List 2026 is a fillable address book and sent/received tracker for larger lists. If you want the whole season on paper, there is also a Christmas Planner on Etsy.

Frequently Asked Questions
When should I mail Christmas cards in 2026?
Christmas is Friday, December 25, 2026. Many people mail in the first week of December so cards arrive before the busiest mail days. Check usps.com for the official holiday mailing deadlines; I have not listed specific dates.
What should a Christmas card list include?
A name as you want it on the envelope, a full mailing address, and columns for sent and received. A small column for address changes helps you keep the list current.
How do I keep my card list up to date every year?
After the holidays, update every address that changed, copy return addresses from cards you received, mark returned mail, and start next year's list from a cleared copy.
